Executive Assistant

Job Duties:

Responsible for scheduling meetings, making travel arrangements and organizing the daily calendar of the President/CEO; performs administrative tasks to improve the effectiveness of the President/CEO and ensure smooth operation of the office

 

  • Serves as the voice and face of the President and CEO
  • Manages her calendar, including scheduling meetings and fielding invitations and requests for time
  • Coordinates meetings the President and CEO hosts
  • Coordinates all travel, managing changes and cancellations
  • Completes the weekly time sheet
  • Completes expense reports as needed and files for any reimbursements, as necessary
  • Drafts email, letters and other written communication as needed
  • Facilitates creation, completion and finishing (printing) for presentation decks, as needed
  • Supports the functioning of the office by answering phones, greeting guests, shipping and receiving packages and procuring supplies

Skills/Qualifications:  Command of Microsoft Office, especially PowerPoint and Excel, travel planning & coordination, meeting coordination, above average written and verbal communication skills, prioritization skills, aptitude for math, familiarity with Mac/iOS, collaboration and problem solving skills
